Cargo
  • FCL (Full Container Load): You book the entire container — 20ft or 40ft. Best when cargo volume exceeds 15 CBM. Your goods are packed exclusively; no risk of mixing.
  • LCL (Less than Container Load): You share container space with others. Ideal for smaller shipments (1–14 CBM). Slightly more handling risk but far cheaper for small orders.
  • Shipped via Kolkata Port (INCKP) — India's primary eastern gateway
  • Suitable for: Jute bags, cotton bags, bulk export orders
  • Port: Kolkata Dock System (KDS) / Syama Prasad Mookerjee Port
💡
Best for: Large bulk orders above 500 kg or full container loads. Most cost-effective for regular export buyers.

1.2 — Incoterms 2020 (Full Explanation)

EXW
Ex Works — Factory Pickup
Buyer handles everything from our factory gate
Seller's Lowest Risk
Seller Pays
✅ Manufacturing
✅ Quality Check
✅ Packaging
✅ Making goods ready at factory
Buyer Pays
✅ Inland transport (Kolkata factory → port)
✅ Port handling & loading
✅ Sea/Air freight
✅ Insurance
✅ Import customs & duties
Risk Transfers
At the factory gate in Kolkata. Once buyer's agent picks up, all risk is buyer's.
Seller's Risk Level: Low
When to use: When buyer has their own freight forwarder in India, or buyer wants full control over shipping costs and logistics. Also used for domestic buyers who arrange their own pickup.
FOB
Free On Board — Kolkata Port
Seller delivers goods on board the vessel at Kolkata Port
Most Common Export
Seller Pays
✅ Manufacturing & packing
✅ Inland transport to Kolkata Port
✅ Export customs clearance
✅ Loading goods onto vessel
Buyer Pays
✅ Sea freight from Kolkata Port
✅ Marine insurance
✅ Import customs & duties
✅ Delivery to their warehouse
Risk Transfers
When goods are loaded on the vessel at Kolkata Port. Clear and simple risk transfer point.
Seller's Risk Level: Medium
When to use: Most recommended for Vadalo Ventures. Best for USA, Europe, UK, Australia buyers. Buyer controls shipping cost, seller handles export clearance. Very transparent for B2B relationships.
CIF
Cost, Insurance & Freight
Seller covers freight AND insurance to destination port
Seller Controls Freight
Seller Pays
✅ All manufacturing & packing
✅ Inland transport to Kolkata Port
✅ Export customs clearance
✅ Ocean freight to destination port
✅ Marine insurance (minimum cover)
Buyer Pays
✅ Import customs & duties
✅ Unloading at destination port
✅ Inland delivery to warehouse
⚠️ Risk transfers at origin port (even though seller pays freight)
Risk Transfers
At Kolkata Port (same as FOB) — seller pays freight but risk transfers earlier. Buyer should add extra insurance.
Seller's Risk Level: Medium-High (controls freight cost)
CFR
Cost & Freight — No Insurance
Like CIF but without seller providing insurance
Freight Included
Seller Pays
✅ Manufacturing & packing
✅ Export clearance
✅ Ocean freight to destination port
❌ Insurance NOT included
Buyer Pays
✅ Marine insurance (buyer's responsibility)
✅ Import customs & duties
✅ Delivery to warehouse
Risk Transfers
At Kolkata Port, same as CIF. But buyer must arrange insurance themselves.
⚠️
When to use: Only when buyer specifically requests no insurance or has their own comprehensive marine insurance policy. We recommend CIF over CFR for better buyer protection and trust.
DDP
Delivered Duty Paid — Door Delivery
Maximum seller responsibility — all-inclusive delivery
Maximum Seller Risk
Seller Pays
✅ Everything — from factory to buyer's door
✅ All freight (sea/air)
✅ Export AND import customs
✅ Import duties & taxes
✅ Last-mile delivery
Buyer Pays
❌ Nothing extra — everything is included
(unless unloading at final destination is excluded)
Risk Transfers
At buyer's named destination (warehouse/office). Seller bears ALL risk until final delivery.
Seller's Risk Level: Very High
⚠️
When to use: For premium buyers who want zero hassle. Add significant margin (15–25%) to cover duties and delivery cost. Requires strong knowledge of import duties in buyer's country. Only for trusted, repeat buyers with clear logistics setup.
DAP
Delivered at Place — Duty Unpaid
Seller delivers to named place, buyer pays import duties
Balanced Option
Seller Pays
✅ All transport to named destination
✅ Export customs clearance
✅ Marine insurance
✅ Delivery to buyer's location (not unloaded)
Buyer Pays
✅ Import duties & taxes in their country
✅ Import customs clearance
✅ Unloading at destination
Risk Transfers
When goods arrive at named destination, ready for unloading. Good balance of risk sharing.
Seller's Risk Level: Medium-High
When to use: Good alternative to DDP when you don't want to handle import duties. Popular with European buyers (EU, UK, Germany) who handle their own customs. Gives buyer-friendly experience without full DDP complexity.

1.3 — Complete Export Order Flow (12 Steps)

1
Step 01
Buyer Inquiry
Buyer sends inquiry via website form, email (info@vadaloindia.com), WhatsApp, or trade portals (Alibaba, IndiaMART, TradeIndia). Capture: product type, quantity, destination country, target price, required certifications (GOTS, GRS, etc.), delivery timeline.
⏱ Response within 24 business hours
2
Step 02
Quotation & Negotiation
Send formal quotation (PDF) with product specs, unit price (based on Incoterm), payment terms, MOQ, lead time, and valid-until date (usually 15–30 days). Negotiate quantity, price, packing, and Incoterm.
⏱ 1–2 business days
3
Step 03
Sample Approval
Send physical samples via DHL/FedEx for buyer's quality and design approval. Sample cost: borne by Vadalo Ventures for prospective bulk buyers, or shared (buyer pays courier). Buyer must give written (email) approval before PI is issued. Approved samples are retained as "Golden Samples" for production reference.
⏱ 5–7 days production + 3–7 days courier = ~10–14 days total
4
Step 04
Proforma Invoice (PI)
Issue official Proforma Invoice (PI) on company letterhead with: buyer & seller details, HS Code (6302.60.00 for jute bags), product description, quantity, unit price, total amount (USD/EUR), Incoterm, payment terms, bank details, validity date. PI serves as the formal contract for the order.
⏱ 1 business day after sample approval
5
Step 05
Advance Payment Received
Buyer transfers advance payment (30%–100% as per agreed payment terms) via TT (Telegraphic Transfer / SWIFT) to our bank account. Production does NOT begin until payment is confirmed in our bank account — not just notified. Send payment receipt acknowledgment within 24 hours.
⏱ Payment should reflect within 3–5 banking days
6
Step 06
Production Start & Updates
After payment confirmation, production begins. Send buyer: Order Confirmation email + Production Start date + Estimated completion date. Share mid-production photos/videos on WhatsApp/email. Any design deviation from Golden Sample must be reported immediately and buyer approval taken.
⏱ Bulk Production: 15–45 days (depending on order size)
7
Step 07
Quality Check (QC)
Internal QC: 100% visual inspection + 10% random measurement check. External QC: Buyer can appoint third-party inspection agency (SGS, Bureau Veritas, Intertek) at their cost. QC Report shared with buyer before dispatch. Rejected goods are reworked or replaced — no compromises on quality.
⏱ 2–3 days QC process
8
Step 08
Final / Balance Payment
For 30+70% or 50+50% payment terms: collect balance payment after QC approval and before dispatch. For LC orders: ensure LC is in order (check terms & conditions meticulously). Goods are NOT dispatched without final payment clearance. Issue final commercial invoice at this stage.
⏱ 1–3 days (depends on payment method)
9
Step 09
Packing & Export Marking
Final packing per buyer's instructions: inner poly bags, master cartons (5-ply/7-ply), pallet wrapping. Export marking on cartons: Consignee name, destination port, order number, carton number (e.g., 1/50), gross/net weight, dimensions, "Made in India" marking, HS Code sticker if required. Fumigation (if required for wooden pallets) — ISPM-15 certified.
⏱ 2–3 days packing process
10
Step 10
Shipping Booking & Container Loading
Book freight (via our freight forwarder / CHA) based on agreed Incoterm. Stuffing (container loading) at our factory or CFS (Container Freight Station). Load goods, take container photos/videos. Obtain: Stuffing Certificate, Seal Number. Goods handed over to shipping line / airline.
⏱ 1–2 days for booking + loading
11
Step 11
Documentation Preparation
Prepare and dispatch all required documents to buyer: Commercial Invoice, Packing List, Bill of Lading (or AWB), Certificate of Origin, Fumigation Certificate (if applicable), Insurance Certificate (if CIF), Quality Certificate. Documents sent via courier (DHL) and scanned copies via email within 24–48 hours of sailing.
⏱ 1–2 days after sailing
12
Step 12
Tracking & Final Delivery
Share container/AWB tracking number with buyer. Provide vessel name, voyage number, ETD (Estimated Time of Departure), ETA (Estimated Time of Arrival). Regular updates via email/WhatsApp. Buyer handles import clearance at destination. Collect buyer feedback within 7 days of delivery. Issue GST-compliant export invoice in India books.
⏱ Sea: 20–45 days transit | Air: 5–10 days | Courier: 3–7 days

1.5 — Export Packaging System

📦 Packaging Levels
  • Level 1 — Inner Packing: Each bag is individually wrapped in OPP poly bag (optional, as per buyer's requirement). Protects from moisture, dust, and transit damage.
  • Level 2 — Polybag Packing: Products packed in groups of 5, 10, or 12 per inner poly bag with label (SKU, color, size, barcode).
  • Level 3 — Master Carton: Standard 5-ply corrugated box (kraft) for most shipments. 7-ply for heavy goods or long sea voyages. Max 15–20 kg per carton recommended.
  • Level 4 — Palletization: For FCL shipments, cartons are stacked on wooden pallets (ISPM-15 heat-treated). Stretch wrap applied for stability.
  • Moisture Protection: Silica gel sachets inside each carton. Desiccant bags for sea freight. Moisture-barrier poly lining inside carton for monsoon-season shipments.
📋 Container Loading Standards
  • 20ft Container: Approx. 25–28 CBM usable. Ideal for LCL upgrades or medium orders.
  • 40ft Standard Container: Approx. 55–58 CBM. Best for large bulk orders.
  • 40ft HC (High Cube): Approx. 67–68 CBM. Extra height for bulky jute/cotton bags.
  • Loading Plan: Cartons stacked by weight (heavy on bottom), similar HS codes together. Loading plan provided to CHA & shipping line.
  • Export Markings: Consignee name, Order No., Carton No. (e.g., 1/50), Country of Origin: India, Port of Loading: Kolkata, Gross/Net Weight, Dimensions.
  • Fragile or Custom Items: Extra corner protection using foam inserts or cardboard corner guards.

1.6 — Export Documentation

📄
Commercial Invoice
The primary trade document between buyer and seller. Contains: Seller's & buyer's details, Invoice number & date, Description of goods (with HS Code — 6302.60.00 for jute bags), Quantity & unit price, Total value in agreed currency (USD/EUR), Incoterm, Port of loading & destination, Payment terms, Bank details for remittance. This document is used for customs clearance, payment, and accounting by both parties.
Mandatory Used for Customs
📦
Packing List
Detailed list of all cartons/packages in the shipment. Each carton listed with: Number, contents, quantity, net weight, gross weight, dimensions (L×W×H in cm), and total CBM. Helps customs authorities and buyer's warehouse to verify and identify goods. Must match Commercial Invoice exactly.
Mandatory
🚢
Bill of Lading (B/L)
Issued by the shipping line (carrier) — the most important sea freight document. Acts as: (1) Receipt of goods by the carrier, (2) Evidence of contract of carriage, (3) Document of title to the goods. The B/L must show shipper (Vadalo Ventures), consignee (buyer or bank for LC), notify party, port of loading (Kolkata), port of discharge, vessel name, voyage number, container number, seal number, and freight payment terms. Original B/L (3 originals) required by buyer's bank for payment under LC.
Mandatory (Sea) Title Document
✈️
Airway Bill (AWB)
Air equivalent of B/L — issued by airline or freight forwarder. NOT a title document (unlike B/L); goods are released directly to consignee on arrival. Contains: flight details, consignee, shipper, weight, charges, description. For express courier — DHL/FedEx provide their own tracking waybill number which serves as AWB.
Mandatory (Air)
🌐
Certificate of Origin (CO)
Official proof that goods are manufactured in India. Issued by: Chamber of Commerce (for non-preferential CO) or DGFT (for preferential CO under trade agreements — e.g., ASEAN, SAFTA, GSP). Buyers in USA (GSP), EU, ASEAN countries may get duty reductions with valid CO. Form A (Generalized System of Preferences) used for USA, EU, Japan buyers. Arab countries require CO attested by Indian Chamber of Commerce AND Embassy.
Mandatory Duty Reduction Eligible
🪵
Fumigation Certificate (Phytosanitary)
Required when wooden pallets or wood-based packing materials are used. Certifies that wood has been treated (Heat Treatment as per ISPM-15) to prevent pest infestation. Issued by a government-authorized fumigation agency. Many countries (USA, EU, Australia, Canada) mandate this — failure to produce it leads to shipment rejection at destination port.
Required if Wood Packing
🛡️
Insurance Certificate
Required for CIF (and recommended for FOB/CFR as best practice). Covers: All Risks or Free from Particular Average (FPA) — depending on buyer preference. Insured value is typically 110% of CIF value. Issued by insurance company (e.g., New India Assurance, United India Insurance). Claim procedure: Report damage within 3 days of receipt with photo evidence, survey report, B/L, Invoice.
Mandatory for CIF
🔑
IEC (Importer Exporter Code)
10-digit code issued by DGFT (Directorate General of Foreign Trade), Ministry of Commerce, India. Mandatory for all export/import transactions. Vadalo Ventures' IEC is registered and active. Without IEC, no export clearance is possible. IEC is quoted on all export documents, bank remittances, and customs filings.
Mandatory — Already Registered

1.8 — Customs Clearance Process

🇮🇳 Export Clearance in India
  • Shipping Bill: Export declaration filed by CHA on ICEGATE (India Customs EDI system). Two types: Free Shipping Bill (no drawback) and Drawback Shipping Bill (for duty drawback claims).
  • Let Export Order (LEO): Customs officer examines goods (or grants facilitated clearance) and issues LEO — this is when export is legally complete.
  • IGST Refund: For GST-registered exporters, IGST paid on inputs can be refunded post-export (zero-rated supply). File GST returns regularly for seamless refunds.
  • Rodtep / MEIS: Export incentive schemes — consult CA for applicable benefits on jute/cotton bags (HS Code 6305, 4202).
  • Role of CHA: Our licensed Customs House Agent (CHA) in Kolkata handles all ICEGATE filings, port handling, coordination with shipping line & customs officers. Fee: ₹8,000–₹15,000 per shipment.
🌍 Import Clearance at Destination
  • Buyer's Responsibility (FOB/CFR/CIF): Import customs clearance is buyer's responsibility for all Incoterms except DDP. Buyer appoints local customs broker.
  • Documents Required by Buyer: Original B/L (or Telex Release), Commercial Invoice, Packing List, Certificate of Origin, any inspection certificates.
  • Import Duties: Vary by country and HS Code. Example: USA imposes 0–4.5% on jute bags (HS 6305.10). EU has 0% under GSP for India.
  • Potential Delays: Random customs examination (stuffing inspection), document discrepancies, port congestion, missing or incorrect documents. We ensure 100% accurate documentation to minimize delays.
  • Telex Release: For trusted buyers, Original B/L can be replaced with Telex Release (electronic surrender) — saves courier time and cost for document transmission.

🌍 500 Pieces — International Export

3.2 — Key Shipping & Order Policies

Frequently Asked Questions
What is the Minimum Order Quantity (MOQ) for export buyers? +
For international export buyers, our standard MOQ is 500 pieces per design. However, we are flexible — if you want multiple designs, the combined order must total 500+ pcs. For example, 3 designs × 200 pcs = 600 pcs is acceptable. Samples (1–5 pcs per design) are available before bulk ordering. For domestic buyers, MOQ is 100 pcs per design. Contact info@vadaloindia.com to discuss specific MOQ requirements for your product.
How long does international shipping take? +
It depends on the shipping mode: Sea Freight: 20–45 days (depending on destination — USA/Europe ~30–35 days, UAE ~7–12 days). Air Freight: 5–10 days to most destinations. Express Courier (DHL/FedEx): 3–7 days door-to-door (for samples). Note: These are transit times after the goods are handed to the carrier. Total lead time includes production time (15–45 days) + dispatch prep (3–5 days) + transit. We will give you a complete ETA from your order confirmation date.
Who pays customs duty — buyer or seller? +
It depends on the Incoterm agreed in your purchase contract. Under EXW, FOB, CIF, CFR, and DAP — the buyer pays import customs duties and taxes in their country. Under DDP — the seller (Vadalo Ventures) pays all import duties, and the price quoted to you is fully inclusive. We always state the Incoterm clearly in our Proforma Invoice. If you are unsure about import duties in your country, check with your local customs authority or broker before placing your order.
Can I track my order in real-time? +
Yes! We provide full tracking for all shipments: Sea Freight: Container number + B/L number shared on vessel sailing. Track via shipping line website (Maersk, MSC, COSCO, etc.). Air Freight: AWB number shared immediately. Track via airline cargo portal. Can I visit your factory or appoint a third-party QC inspector? +
Absolutely! Factory visits are welcome by prior appointment. Our factory is located in Kolkata, West Bengal, India. Please email info@vadaloindia.com to schedule your visit. We also welcome third-party inspection by agencies like SGS, Bureau Veritas, Intertek, or TUV at your cost. Our team will coordinate full access for the inspector. Inspection reports must be shared with us for records. We are transparent and encourage quality verification — it builds long-term trust.
Do you provide samples before placing a bulk order? +
Yes, we strongly encourage sample approval before bulk orders. Sample production takes 5–7 working days, and delivery via DHL/FedEx takes 3–7 additional days to most countries. Sample cost: Free for genuine bulk buyers (courier cost borne by us for serious inquiries). For speculative inquiries, buyer pays courier charges. Samples are dispatched only after receiving your DHL/FedEx account number or prepayment of courier charges. The approved sample becomes the "Golden Sample" and is retained as the bulk order reference standard.
What certifications do your products carry? +

Ltd. holds the following certifications: Sedex (Supplier Ethical Data Exchange — social compliance), AEO (Authorised Economic Operator — customs trust program), Global Recycled Standard (GRS) — for recycled content bags, GOTS (Global Organic Textile Standard) — for organic cotton bags, ISO certified processes. What happens if my goods are damaged during transit? +
Damage during transit must be reported to us within 48 hours of delivery with clear photographs and videos as evidence. Steps to follow: (1) Do not reject the delivery — accept it and note "received with damage" on the delivery receipt / POD; (2) Take photos of outer carton damage + inner goods damage; (3) Email evidence to info@vadaloindia.com within 48 hours. For CIF shipments, an insurance claim will be filed on your behalf. For FOB shipments, contact your marine insurer directly. We work with you to resolve genuine damage claims as quickly as possible. Claims reported after 48 hours cannot be entertained.
Can I cancel my order after placing it? +
Once production has started, orders cannot be cancelled and the advance payment is forfeited. This is because raw materials are purchased and production resources are allocated specifically for your order. If you need to cancel before production begins (i.e., within 24 hours of advance payment and before our production confirmation), contact us immediately at info@vadaloindia.com. A 10% processing fee may apply. We advise buyers to thoroughly review samples and specifications before approving bulk production — we are always happy to discuss changes before the order is locked in.

Our primary HS Codes: Jute bags / sacks: HS 6305.10.00; Cotton bags: HS 6305.20.00; Shopping/tote bags (jute): HS 4202.92.xx; Eco promotional bags: HS 3923.29.xx. Import duties vary by destination country: USA: 0–4.5% under HTSUS; EU: 0% under GSP for India (Form A); UK: 0% under DCTS (formerly GSP); Australia: 0–5%. Always verify current applicable duty with your local customs authority. We provide Certificate of Origin to help buyers claim preferential duty rates wherever applicable.
What is FOB and how is it different from CIF? +
FOB (Free On Board): We deliver goods to Kolkata Port and load them onto the vessel. After that, you (the buyer) are responsible for freight, insurance, and everything else. You get more control over shipping costs and can choose your own freight forwarder. CIF (Cost, Insurance, Freight): We handle everything up to the destination port — including paying for ocean freight AND marine insurance. You just need to handle import customs at your end. CIF price is higher than FOB because we include freight + insurance in our price. Which is better? Most experienced buyers prefer FOB for transparency and cost control. New buyers or those without their own forwarder prefer CIF for simplicity.
